Four Things to Check on a Spec Sheet Before You Order

Revision dates, part numbers that disagree with dimensions, utility attribution, and knowing when you need the drawing rather than the flyer.

Most ordering mistakes in utility equipment aren’t dramatic. Nobody orders a meter socket when they meant a switchboard. The expensive errors are small: a depth that’s two inches off, a part number with two digits transposed, a revision that’s eight months stale.

They’re expensive because they survive right through to delivery. Everything looks correct on paper, the drawing matches the purchase order, and the problem only surfaces when the cabinet doesn’t fit the opening.

Here are four checks that catch most of them, and they take about ninety seconds.

1. Check the revision date, not just the revision letter

Every drawing and flyer should carry a revision. Compare it against whatever else you’re holding.

If your submittal package has a drawing from last year and the manufacturer’s current flyer is from last month, assume something changed and confirm which is governing. Revision letters roll independently on different documents — an R6 drawing and an R2 flyer tell you nothing about which is newer. The date is the reliable field.

Watch for documents carrying two revision stamps. It happens when a footer is updated without removing the old one, and it means at least one of them is wrong.

2. Make the part number and the dimensions agree with each other

In most utility equipment the part number encodes the dimensions. A cabinet numbered -544212 is telling you 54 × 42 × 12. If the dimension block on the same sheet says 54 × 42 × 10, one of the two is a typo — and you need to know which before you order, not after.

The same applies to suffixes that encode configuration. A -3 typically means three phase and a -1 single phase; if the phase column says otherwise, stop and ask.

This check costs seconds and catches transposition errors, which are the single most common defect in technical documents because they survive proofreading. 298 and 289 look identical at a glance.

3. Confirm the document is for the utility you think it is

Utility-specific equipment is built to that utility’s spec, and the sheets often look nearly identical across utilities. Check the title block and the description field, not the filename.

Two specific traps:

Prefixes matter more than folder names. A drawing filed under one utility’s folder may be specified to another’s standard. The title block is authoritative.

CT and PT cabinets are different devices. A current transformer cabinet measures current; a potential transformer cabinet steps voltage down for instruments. They’re commonly installed together in the same metering setup, which is exactly why a PT box sometimes ends up filed under CT cabinets. If the drawing calls out PT studs and a PT mounting pan, it’s a PT box regardless of where you found it.

4. Decide whether you need the flyer or the drawing

They are not the same document and they answer different questions.

A flyer is a marketing sheet — features, a product-selection table, part numbers, and general dimensions. It’s what you want when choosing between models.

A spec sheet or CAD drawing is the dimensioned engineering drawing with the title block, construction notes, and section views. It’s what you want for a submittal, for confirming clearances, or for anything going in front of an inspector.

If you’re sending something to an engineer or an authority having jurisdiction, send the drawing. If you’re deciding what to buy, the flyer is faster.

When two documents disagree

It happens, including at manufacturers who are careful. The rule that keeps you out of trouble: ask, don’t reconcile. Don’t pick the one that suits the schedule. Get a written answer on which document governs, because the one you didn’t choose is the one the inspector will be holding.
